The minutes of the previous meeting were approved. OUEN noted that he was not able to guarantee his attendence at meetings for the foreseeable future and noted that it might be best if he stepped down as Canton Secretary. There was a discussion about minute-taking and minute-takers. The group decided that the best approach was to create a pool of interested/capable volunteers to take minutes, including typing them out. 2. There was a discussion about the Dance Practice moving to the Sandy Hill Community Centre. The price for the dancers would be approximately $1.50/hour. The change of locale would be effective April 30. CECILIA noted that if the experiment were unsuccessful we would have to inform the old site we were moving back by September 2003. The dancers would be in the Conference from September to June and the Conference Room from June to August for the same price and would run at the same times as the fighting practice. CECILIA asked about storage space. ANGHARAD will ask the Centre about lockers and if they have a CD player we can borrow. 3. IUDITH has spoken to PAITLIN and has retrieved some of the kitchen equipment which was outstanding since fall Crown Tournament. PAITLIN will be going to the school on Wednesday to investigate further and IUDITH will call her about the results later in the week. 4. IUDITH passed around forms (including notes) for inventory sign-out and return. There was much discussion about the forms, including concerns about complexity and responsibility for follow-up. RHODRI suggested that the military uses forms for inventory control which might be a useful template: he will attempt to get a copy to IUDITH. TSIVIA suggested that the Rough-Totes (tm) should have a list of contents taped to the lid (with double-sided tape and plastic sheet protectors). 5. ANGHARAD noted that bids for Autocrat's Day Off are due April 30, 2003. We will lose the site if we don't book a weekend. There was a question about potential conflicts with Baronial Muster: it was noted that since Autocrat's didn't have a firm date this was not likely a concern. 6. ANGHARAD noted that bids for Feast of the Hare are due April 30, 2003, which is a firm deadline. The date has been booked with the Kingdom Calendar Secretary. There is at least one bid in the system. There was a discussion about sites: St. Patrick's High School (Ottawa) and North Grenville District High School (Kemptville). ANGHARAD will be looking at both sites. 7. It was noted that CHIARA would like to hold a Newcomer's Seminar. She has also requested that the Canton purchase more Rough-Totes (tm) to hold Gold Key. There was some discussion regarding the issue and it was tabled until an estimate of the amount required could be obtained. 8. TSIVIA noted that she will be leaving for Coronation early and will be holding a Bardic Workshop in conjunction with the event. 9. The meeting then adjourned. Respectfully submitted, Ouen de St-Helier Canton Secretary Canton of Caldrithig Meeting Notes - 30 March 2003 1
